Services AI Customer Support

Your customers shouldn't have to explain themselves twice.

We build AI support that answers from your own information, keeps the context when a customer moves from chat to text to email, updates your systems, and brings in a person when it should.

They just want the business to remember.

A customer starts on your website, replies by text, sends an email tomorrow, and rings on Friday. To them that is one relationship with one business. Support should treat it that way.

The customer changed channels. The conversation did not restart.

One customer, one problem, handled across whatever they reach for next. Pick a situation and watch it carry through.

Example conversations, written to show the shape of one. The customers and the businesses are invented. Which channels a system uses depends on what we build with you.

    What it can handle.

Four kinds of work. Open any of them for the detail.

    • Your phone system
    • Your support desk
    • Customer database
    • Internal workflows and tasks

    • Priority customers
    • Requests outside its knowledge
    • Anything that needs judgment

Useful answers come from your business, not the internet.

It answers with what you have taught it and acts through what you have connected. Nothing is made up, and nothing happens in a system you have not plugged in.

    What you teach it

    • Services, and how you talk about them
    • Hours, locations and coverage
    • Policies and the exceptions you allow
    • The questions you answer every week
    • Scheduling rules and buffers
    • Who gets escalated, and to whom
    • Approved wording for the delicate ones

    What it connects to

    • CRM and customer records
    • Calendar and booking
    • SMS, email and website chat
    • Your phone system
    • Support desk and ticketing
    • Workflow and task tools

We can connect with the CRM and calendar you already use, and with common messaging and support tools, depending on your stack. Examples: HubSpot, Salesforce, GoHighLevel, Google Calendar, Twilio, Zendesk, Intercom, Gmail, Zapier, Make. None of that is a partnership claim, and not every connection is out of the box.

AI when it can help. A person when it should.

Every request gets understood first. If it is something the system knows and is allowed to do, it does it and writes it down. If not, it summarises, routes, and a person picks it up with the whole story in front of them.

    The handoff includes the story.

Your team does not need another inbox.

The routine requests get answered before they reach anyone. What arrives is the part that needs a person: the exception, the unhappy customer, the judgment call, the relationship worth a phone call. Let your team spend their time where a person actually matters.

The conversation ends. The workflow keeps going.

An answer is only useful if the rest of the business knows about it. So the rest of the business is told.

    1. 01

      Conversation completed

Resolved, or handed over. Either way, closed properly.

    2. 02

      Record updated

The customer, the request and what was agreed, in your CRM.

    3. 03

      Appointment changed

The calendar moves with it. No double entry.

    4. 04

      Confirmation sent

To the customer, on the channel they were just using.

    5. 05

      Note and task created

A summary for whoever touches this next, and a task if something still needs doing.

    6. 06

      Follow-up scheduled

A reminder the night before, a check-in after, whatever your process says happens next.

    • The question doesn't always arrive during office hours.

Nights, weekends, lunch, the busy hour when three people ask at once. It can be configured to take the routine ones whenever they come, and to hand the rest to your team in the morning with the story written down.

    • More than one language, if your customers need it.

We can design support flows around the languages your business actually serves, so a customer who writes in Spanish gets an answer in Spanish. We do not promise every language; we build for yours.

Who asks, and what they ask.

Different businesses, the same shape of question. It handles the communication and the workflow. It does not make the decisions that belong to a professional.

    "Can I move tomorrow's appointment?"

Checks the diary, offers the next slot, moves it, confirms by text, updates the job.

    How it gets built.

Five steps. The first one is a conversation about the questions your inbox is already full of.

    1. 01

      We map your support requests.

What do customers ask, how often, on which channel. What the system can take, and what should always reach a person.

    2. 02

We build the knowledge and the rules.

Answers, policies, scheduling rules, the wording you want used, and exactly when and to whom it escalates.

    3. 03

      We connect your systems.

Chat, text, email, calendar, CRM. Whatever you already run, so nothing has to be re-typed anywhere.

    4. 04

      We test real conversations.

The normal ones, the awkward ones, and the handoffs. You read the transcripts before a customer ever does.

    5. 05

We launch it, then keep tuning it.

It goes live on the channels you chose. We read what it handled and what it passed on, and tune it from there.

Questions people ask before they book the call.

    What can it actually answer?

Anything in the knowledge you have approved: hours, services, coverage, policies, the questions you get every week, and whatever you add over time. If a question falls outside that, it says so and passes it on rather than guessing.

Does it use information specific to my business?

Only that. It is built from your services, your rules and your wording, not from the open internet. You decide what it is allowed to say, and you can change it.

    Can it remember previous conversations?

Yes, where the channels are connected. A customer who asked on the website and replies by text is the same customer, with the same context, and they are not asked to start again.

Can customers move between chat, text and email?

That is the point of it. Which channels are included depends on the system we build with you; the demonstration above shows the shape of it.

Can it connect to my CRM and calendar?

We can connect with the CRM and calendar you already use, and with common messaging and support tools. We confirm which on the first call, and we say plainly if something needs custom work.

Can it schedule and reschedule appointments?

Yes, against your real calendar and your rules: buffers, durations, who does what, and which slots are off limits.

What happens when it does not know?

It says it does not know, takes what it needs, and routes the conversation to a person with a summary attached. It does not invent an answer to fill the gap.

Can it hand a customer to a real person?

Always, and asking for a person always works the first time. Complaints, disputes, anything sensitive, and anything you have marked as human-only go straight through, with the story.

    Can it work after hours?

It can be configured to handle routine requests at any hour and to hold the rest for your team in the morning. What it covers, and when, is a decision we make together, not a blanket promise.

Can it support more than one language?

We can design multilingual flows around the languages your customers actually use. We do not promise every language; we build for yours.

Do I need to replace my current support software?

Usually not. It sits alongside what you have and feeds it. If something you use cannot be connected, we tell you before we start, not after.

How long does it take, and what does it cost?

It depends on how many channels, how much knowledge, and what has to be connected. You hear both numbers, build and monthly, out loud on the first call. Nothing appears afterwards.

Your customer has a question. Make sure the business has an answer.

Twenty minutes on the phone, no charge, no slide deck. Bring the questions your inbox is full of; we will tell you which ones it would take off you.
